Who we are

Hazel (heyhazel.io) is operated by Hazel Technologies Ltd, a company registered in the United Kingdom, which is the entity responsible for the data described in this policy. Hazel provides an automated messaging assistant for salons and similar appointment-based businesses. It answers calls and messages the business cannot get to, helps customers book appointments, and sends appointment reminders. You can reach us any time at hello@heyhazel.io.

The two kinds of people we process data for

Salon owners and staff (our customers): we hold your contact details, business information (services, prices, opening hours), and account data needed to run the service and bill for it.

Salon customers (the people who message a salon we work with): when you contact a salon that uses Hazel, we process your phone number or social media handle, the content of your conversation, and your booking details (service, date, time, name). We process this on behalf of the salon, so Hazel can answer your questions, book your appointment, and send you reminders about it. The salon remains in charge of your relationship with them.

What we use data for

Answering messages, booking and managing appointments, sending appointment reminders, alerting the salon when a human should take over, and showing the salon reports about their own bookings. We do not sell personal data, and we do not use salon customers' conversations for advertising.

Who helps us run the service

Messages travel through the platforms you contact the salon on: WhatsApp and Instagram (operated by Meta) and phone/SMS (routed through Twilio). Conversations are processed with the help of Anthropic's Claude models to generate replies, and bookings are written to the salon's calendar (Google Calendar). Our infrastructure runs on Railway and Vercel. Each of these providers processes data only to provide their service to us.

What we receive from Meta when a salon connects

When a salon connects its WhatsApp Business or Instagram account to Hazel, Meta's APIs send us: the messages customers send to that salon (message content, the sender's phone number or Instagram handle, their display name, and timestamps), delivery status updates for messages, and the salon's WhatsApp Business account details (business name and phone number identifiers) needed to operate the connection. We use this data only to receive, answer, and measure the salon's booking enquiries as described above — never for advertising — and we never sell it. It is kept and deleted on the schedule described below.

How long we keep things

Conversation and booking history is kept while the salon uses Hazel, so returning customers can be recognised and bookings can be managed. If a salon stops using Hazel, we delete their customers' conversation data within 90 days.

Your rights and data deletion

Under UK and EU data protection law you can ask what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it.

To request deletion of your data, email hello@heyhazel.io from the phone number or account concerned, or include it in your message, and tell us which salon you were in contact with. We confirm and complete deletion requests within 30 days.

If this policy changes in a way that matters, we will update this page and the date at the top.
